1)Scope
This policy applies to:
- Websites and pages we operate that link to it.
- Our client services and portals (e.g., intake, chat, scheduling, project tools).
- Rukota Academy applications, cohorts, and related materials.
- Email, phone, messaging apps (e.g., WhatsApp Business), and social channels we use to communicate with you.
It does not apply to third-party websites or tools you connect to Rukota (e.g., your CRM, help desk, calendar, payment gateway). Those are governed by their own policies.
2)Information We Collect
a) Information you provide
- Identity & contact: name, email, phone, company, role, address.
- Account data: login, preferences, support requests.
- Service content: instructions, documents, CRM exports, call scripts, SOPs, files, and other materials you share for us to perform services (“Client Content”).
- Academy data: applications, cohort selection, coursework, submissions, feedback.
Payment/ billing: invoicing details and transaction metadata (card numbers are processed by our payment providers and are not stored by Rukota). - Communications: emails, chats, meeting notes, call recordings (where lawful and disclosed).
b) Information collected automatically
- Usage & device data: pages viewed, actions taken, IP address, timestamps, browser & device type, language, referral URLs.
- Cookies & similar tech: for session management, preferences, analytics, and optional marketing (see §6).
c) Information from third parties
- Integrations you connect: CRMs, help desks, calendar/scheduling, e-signature, finance tools.
- Partners & vendors: background checks (where permitted), anti-fraud signals, training platforms.
3)How We Use Information (Purposes & Legal Bases)
We process personal information to:
- Deliver services and fulfill contracts (perform tasks you request, operate portals, provide support). (Legal basis: contract)
- Operate and improve our websites and services (analytics, troubleshooting, product development, quality assurance). (Legitimate interests / consent where required)
- Communicate with you (service messages, account notices, onboarding, security updates). (Contract/legitimate interests)

We only use Client Content to provide the services, comply with law, maintain security, or as you instruct.
4)How We Share Information
We do not sell personal information. We share it only with:
Service providers/processors who host, store, analyze, communicate, process payments, or support operations (e.g., cloud hosting, analytics, email, billing, e-signature, telephony). They act under contract and may not use data for their own purposes.
Professional advisors (legal, accounting, insurance) under confidentiality.
Business transfers (merger, acquisition, financing, or sale) with reasonable safeguards.
Legal & safety when required by law or to protect rights, security, or the integrity of our services.
With your direction—for example, connecting a tool or sharing outputs with your vendors or clients.
5) International Transfers
We may process data in countries other than where you live. When transferring from the EEA/UK/Switzerland or other regions with data-transfer rules, we rely on appropriate safeguards (e.g., Standard Contractual Clauses) and implement technical/organizational measures.
6) Cookies & Analytics
- Strictly necessary cookies run the site and portals.
- Preference & functional cookies remember choices.
- Analytics cookies help us understand usage and improve experiences.
- Marketing cookies (if used) support limited remarketing.
You can manage cookies via your browser settings and, where offered, our cookie banner. Blocking some cookies may affect functionality. We currently do not respond to “Do Not Track” signals.
7) Data Retention
We keep personal information only as long as necessary for the purposes in this policy, to fulfill contracts, comply with legal obligations, resolve disputes, and enforce agreements. We retain Client Content for the life of the engagement and a reasonable period afterward unless you instruct earlier deletion, subject to legal holds.
8) Security
We apply administrative, technical, and physical safeguards appropriate to the risk, including role-based access, least-privilege, MFA/2FA support, encryption in transit, and vendor due diligence. No method of transmission or storage is 100% secure; please use strong, unique passwords and enable multi-factor authentication where available.
9) Your Privacy Choices & Rights
Email preferences
Unsubscribe links are included in marketing emails. Service emails are necessary for your account.
Rights (subject to your region’s laws)
You may have the right to access, correct, delete, restrict or object to processing, and port your data, as well as withdraw consent where we rely on it. To exercise rights, contact info@rukotaglobal.com. We may request verification.
California (and similar U.S. state laws)
- Right to know/access, delete, and correct personal information.
- Right to opt out of “sale” or “sharing” for cross-context behavioral advertising (we do not sell personal information).
- Right to limit use/disclosure of sensitive personal information (we do not use SPI for inferring characteristics).
- No discrimination for exercising rights. You may use an authorized agent with proper authorization.
EEA/UK
Our legal bases are listed in §3. You may lodge a complaint with your supervisory authority; we encourage contacting us first so we can help.
10) Children’s Privacy
Our services are not directed to children under 16, and we do not knowingly collect their personal information. If you believe a child provided data, contact us and we will take appropriate steps.
11) Third-Party Services & Links
When you connect third-party tools (e.g., CRM, help desk, calendar), their handling of data is governed by their own policies and terms. Review those providers’ notices before enabling integrations.
12) Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted with a new “Last updated” date. Material changes may be notified by email or prominent notice.
